The Role

The Director of Patient Advocacy leads Acclaim’s recovery operations on behalf of Health System clients, overseeing a team of Patient Advocates who manage the full advocacy lifecycle — from identifying eligible patients and gathering documentation, to securing assistance across the full spectrum of programs (manufacturer PAPs, copay assistance, and independent foundation grants), through ongoing re-enrollment so patients stay on therapy — and converting those recoveries into measurable savings and compliance value. PAP is a central pillar, but the mandate is broader patient advocacy: capturing every dollar of assistance patients qualify for.

This is a player-coach role. At Acclaim’s current stage, the Director personally carries an active caseload — submitting applications, working denials, recovering assistance — while building, training, and managing the team. As the company scales, the role shifts progressively toward leadership and away from individual casework.

Key Responsibilities

Program Leadership & Strategy
  • Lead end-to-end recovery operations — application workflow, manufacturer and foundation coordination, and eligibility determination
  • Develop and refine SOPs across all program types (manufacturer PAPs, bridge programs, copay assistance, foundation grants, free-drug programs)
  • Define KPIs and drive performance: recovery rates, application cycle times, approval rates, and dollars recovered per FTE
  • Serve as the internal escalation point for complex eligibility cases, denials, and program-rule interpretations
Team Management & Culture
  • Recruit, train, and manage a team of Patient Advocates across assigned Health System accounts
  • Own and protect Acclaim’s culture from the first interview onward — hire for mission alignment as much as skill
  • Establish productivity standards, workload distribution, and quality-assurance protocols
  • Run performance reviews, coaching sessions, and development planning for direct reports
  • Build a culture of accuracy, compliance, and urgency given the stakes of the work
Client Engagement
  • Serve as the senior operational point of contact for client pharmacy directors and revenue-cycle leaders
  • Deliver regular reporting and business reviews on recovery volume, financial impact, and utilization trends
  • Identify expansion opportunities within existing accounts (new patient populations, drug classes, or sites of care)
  • Partner with the commercial team on new-client onboarding and implementation
Compliance & Program Integrity
  • Ensure all recovery activity complies with program terms, 340B requirements (including duplicate-discount prohibitions), HIPAA, and applicable regulations
  • Monitor changes in program eligibility rules and update internal workflows proactively
  • Maintain documentation standards sufficient for audit readiness across all accounts
Cross-Functional Collaboration
  • Partner with auditing and repricing teams to align recovery intelligence with cost-of-goods and contract-compliance initiatives
  • Work with technology and data teams on workflow automation, application tracking, and outcome reporting
  • Contribute to product and service development by surfacing operational insights

Qualifications

Required
  • Willing and able to personally carry an active caseload and do the advocacy work directly — a hands-on player-coach role, not purely supervisory
  • 5+ years in patient assistance / patient advocacy program management, pharmacy operations, or healthcare revenue cycle, with at least 2 years in leadership
  • Deep familiarity with manufacturer PAP structures, copay and foundation assistance, eligibility criteria, and application processes across a broad formulary
  • Strong working knowledge of hospital pharmacy operations and the financial pressures facing Health System pharmacy leadership
  • Demonstrated ability to manage and develop high-performing teams in a metrics-driven environment
  • Exceptional organizational skills and the ability to manage multiple client accounts simultaneously
  • Proficiency with CRM, case management, or recovery workflow platforms
Preferred
  • Experience within or alongside a 340B-covered entity, with understanding of duplicate-discount rules and split-billing compliance
  • Familiarity with GPO and wholesaler drug pricing structures (WAC, contract price, COG discounts)
  • Background in third-party administrator (TPA) or specialty pharmacy services
  • Bachelor’s degree in healthcare administration, pharmacy, business, or related field; advanced degree a plus

What Success Looks Like in Year One

  • Recovery operations running at scale with documented SOPs and measurable throughput benchmarks
  • A client-facing reporting cadence established and driving quantified financial-impact conversations
  • The Advocate team staffed, trained, and performing at or above productivity targets — and carrying the culture every day
  • At least one new recovery category beyond core PAP (e.g., copay or foundation) operationalized

Position Overview

The Patient Advocate is the engine of Acclaim’s recovery program — a frontline, production-oriented role managing the full advocacy lifecycle on behalf of Health System clients, from identifying eligible patients and gathering documentation, to securing assistance across manufacturer PAPs, copay assistance, and independent foundation grants, through ongoing re-enrollment. Advocates work in a structured, metrics-driven environment, manage a high-volume caseload with accuracy and urgency, and report directly to the Director of Patient Advocacy.

A Day in the Life

Each day begins with a queue of active cases across multiple assistance programs. You review patient eligibility data, gather missing documentation (income verification, insurance status, physician attestations), and prepare complete application packages. You follow up on pending applications across PAPs, copay programs, and foundations; respond to requests for information; log every case activity; and flag denials or anomalies to the Director. No two days look the same — program rules vary, patient situations are complex, and precision matters at every step.

Key Responsibilities

Eligibility & Application Processing
  • Review demographic, insurance, and income data to assess eligibility across PAPs, bridge programs, copay assistance, foundation grants, and free-drug programs
  • Gather and organize required documentation from client teams (income verification, insurance EOBs, physician signatures, diagnosis information)
  • Prepare complete, accurate application packages per each program’s requirements and submission formats
  • Submit applications through manufacturer and foundation portals, fax, or other channels within turnaround standards
  • Maintain detailed, up-to-date case notes in the case management platform
Pipeline Tracking & Follow-Up
  • Monitor the status of all submitted applications — pending decisions, requests for information, approval timelines
  • Follow up proactively with program representatives to resolve outstanding items and accelerate decisions
  • Manage the denial review queue: assess reasons, determine resubmission eligibility, prepare corrected applications or appeals
  • Escalate complex denials, eligibility disputes, and exceptions to the Director promptly
Recovery Coordination
  • Coordinate approved medication and benefit logistics among the manufacturer, foundation, specialty pharmacy or distributor, and the client’s pharmacy team
  • Confirm receipt of approved medications or assistance and update case records
  • Track recovery volume and dollar value per case to support client reporting and metrics
Documentation & Compliance
  • Maintain organized, audit-ready case files in line with Acclaim’s documentation standards
  • Ensure all activity complies with program terms, HIPAA, 340B requirements, and applicable regulations
  • Flag potential compliance concerns or documentation irregularities to the Director immediately
  • Adhere to internal SOPs, productivity standards, and quality benchmarks
Communication & Coordination
  • Communicate clearly with client contacts (pharmacy staff, social workers, financial counselors) to obtain information and provide updates
  • Coordinate with program representatives to resolve issues, confirm eligibility, and obtain approval documentation
  • Participate in team huddles, training, and performance check-ins; share program knowledge with fellow Advocates

Performance Expectations

Advocates are held to clear, measurable productivity and quality standards, reviewed regularly with the Director — including application volume, pre-submission accuracy, approval rate by program, time-to-approval, denial-resubmission success, dollars recovered per case, and documentation completeness.

Qualifications

Required
  • 1–3 years in patient assistance programs, specialty pharmacy, medical billing, healthcare revenue cycle, or a related administrative healthcare role
  • Strong attention to detail and the ability to manage a high-volume caseload accurately and consistently
  • Excellent organizational skills — tracking many open cases across different programs simultaneously
  • Comfort navigating online portals, case management platforms, and standard office tools (MS Office, Google Workspace)
  • Clear written and verbal communication for client pharmacy staff and program representatives
  • Ability to work independently within a structured workflow and meet daily production targets
Preferred
  • Prior experience submitting applications to major manufacturer PAPs and to independent copay foundations
  • Familiarity with 340B fundamentals, including covered-entity eligibility and duplicate-discount restrictions
  • Background in hospital pharmacy operations, TPA services, or specialty pharmacy
  • Experience with electronic health records (EHR) or pharmacy information systems
  • Associate’s or Bachelor’s degree in a related field; equivalent experience considered
